Control task templates

In one sentence: A control task template (in the app: a Monitor) is a reusable list of checks with a score scale, built once in the Configurator and then scheduled for units in Monitoring. Menu: Configurator → tab Monitor · Status: Live

What it is

Some checks come back again and again: "Fridge temperature checked", "Emergency kit complete", "Room 3 cleaned". A control task template collects these checks for one topic, so nobody has to type them again each time.

Each check in the template is a control task. It has a short text and a scale that says how well the check was done, by default from 0% ("Incomplete") to 100% ("Complete") in steps of 20%.

The template itself does nothing on its own. It becomes daily work only when someone schedules it for a unit in Monitoring. Think of it as a blank inspection sheet: the Configurator prints the sheet, Monitoring hangs it on the door and collects the scores.

Who uses it

Role What they typically do here
RiQS Administrator Builds templates for any organisation and supports customers.
Group Administrator Builds templates and shares them with the organisations of the group.
Administrator Builds templates for the organisation and shares them with its units.
Power User Builds and maintains the templates of their own unit.
Management Builds and maintains their own templates for the unit.

How it works

Create (details → availability → control tasks) → Save → Schedule in Monitoring → Answer → Review
  1. Details. Give the template a title, an optional description, a sector and a topic.
  2. Availability. Choose at least one organisation, and the units inside it that may use the template.
  3. Control tasks. Add one or more control tasks. For each one, write the text, add a keyword if you like, set the scale and attach files from the library if needed.
  4. Save. The template appears on the Monitor tab and can be scheduled straight away.
  5. Use. In Monitoring, a Power User schedules some or all of its control tasks for a unit, once or repeating.

How to …

How to create a control task template

Who can do this: RiQS Administrator, Group Administrator, Administrator, Power User, Management, if the unit has the Monitoring module 1. Open Configurator and go to the Monitor tab. 2. Click Create Monitor. 3. Enter the title, sector and topic. The description is optional. 4. Choose the organisations and units that may use it. 5. Click Create control task and write the task text. Optionally add a keyword and attachments. 6. Check the scale. Change from, to, step or the end labels if the default (0–100%, steps of 20%) does not fit. 7. Use Add more control task for every further check. Use Copy task to repeat a similar one. 8. Click Save.

Result: The template is listed on the Monitor tab and can be scheduled in Monitoring.

How to change, copy or deactivate a template

Who can do this: see Who can do what 1. On the Monitor tab, find the template and open the row menu (⋮). 2. Choose Preview, Edit, Copy or Delete, or use the status switch to deactivate it.

Result: Copy creates a new, separate template. Edit changes the template for future scheduling.

Rules to know

  • At least one control task. A template cannot be saved without one.
  • Scale: from must be smaller than to, and step must be greater than 0. End labels are up to 50 characters. The defaults are 0 ("Incomplete") to 100 ("Complete") in steps of 20.
  • Field limits: title, description and control task text up to 1000 characters; sector up to 100 characters. Title, sector, topic and the task text cannot be only spaces.
  • Availability: at least one organisation must be chosen.
  • Monitoring module needed: templates can only be created if the unit's package includes Monitoring.
  • Deleting: a template that is still used by scheduled tasks cannot be deleted. Deactivate it instead. Power Users and Management can delete only templates they created.
  • Audit-safe mode: only the RiQS Administrator can delete.

Open questions

  • The feature list mentions deleting a template with active elements "according to the configured deletion logic", while the rights sheet says templates in use cannot be deleted. Which rule applies?
  • The feature list mentions saving a monitor as a draft. Is there a draft state for control task templates, as for reports and surveys?
  • Does editing a template change control tasks that are already scheduled, or only future schedules?
